Email Template Editor

The application supports non-voice campaigns like Email campaigns. The application uses the following two types of Email Servers:
SMTP Email Servers: The template for these Emails can be created using the Email Template Editor.
SendGrid Email: The templates for these Emails can be created using the default console Email Template Editor. Alternatively, the templates created in SendGrid system can be mapped. SendGrid templates are useful when it comes to rich HTML, which includes multi-column layout, buttons, conditional messages, and so on.
You can create multiple Email templates and run Email campaigns sending out Emails based on various templates within the same Campaign. To achieve this, you must create Email campaigns and write conditions to use each of these templates. For example, you can send an advance notification of an impending payment as a first email, a reminder as a second email, the final email could be a notification about stoppage of services due to non-payment.
Create Email templates that your Email campaigns can use to send out Emails to contacts. The Email Template Editor screen features the Email templates created for the given campaign.
The templates are displayed in a grid with the following columns:
Email Template Name: Name of the Email template.
Condition: The condition established for contact selection for the corresponding Email template.
Default: One of the available Email templates can be set as default for the given campaign, by turning the toggle switch ON.
Actions: Features Edit and Delete buttons. Using the Edit button, all the parameters of an Email Template can be modified, but for the Email template name. Use the Delete button to delete an Email template.
Create Email Template
Perform the following steps to create an Email template:
Click Add Email Template to create a new Email template.
Enter the name of the Email template.
Choose the template type as System or SendGrid.
System Email Template
The System type, based on the type of Email Server selected, allows to create regular Email templates with provisions for adding Subject, CC, BCC, body of the template, and hyperlinks, besides attaching files. This type of template, when processed through SendGrid server, allows to set up the availability of Unsubscribe option to the Email.
For a System Email template, perform the following steps:
In the Conditions section, write condition using the Build Condition facility.
Turn the Advanced Builder switch ON to use it. Refer Condition Builder on how to write conditions.
Expand the Email Template section to create an Email template.
Enter a Subject for the Email.
In the From field, enter the email address that goes out as the sender.
In the Reply To field, enter the receiver email address that receives the responses from the recipients.
Note:
The inputs in the From and the Reply To fields override the sender and the receiver addresses set in the Email server configuration.
To highlight the Business Field in your Email, select the Highlight Business Field checkbox. The application sends out the business field value highlighted in bold text.
To send out mails using Free HTML text, select the Free HTML Text checkbox. Leave this box unselected to compose Emails in plain text, using the formatting features of embedded text editor.
Select the CC checkbox to add a carbon copy recipient.
Select the BCC checkbox to add a blind carbon copy recipient.
Click Choose File to select an attachment to the Email.
Enter text (including a signature) that forms part of the Email body.
To add a link for the customers to unsubscribe, create a hyperlink in the intended area and save the hyperlink.
The unsubscribe feature is not applicable when the selected Email Server Type is SMTP.
Set the availability of the unsubscribe option to the Email, by choosing from one of the following and click Save.
Global: The contact that has unsubscribed will not receive any Email from any campaign. After selecting this option, select the unsubscribe hyperlink substitution tag from the Substitution Tag dropdown that appears.
Group: The contact that has unsubscribed will not receive any Email from the corresponding group of campaigns. After selecting this option, select the group from the Select Group dropdown that appears.
None: The unsubscribe option is not enabled for any contact.
Send Grid template
The SendGrid type is available only for the campaigns that have the SendGrid Email Server chosen. Besides the regular Email template options, a SendGrid type of template has extensive customizations that include overriding the sender and receiver addresses (for the given template) configured in the server, applying the templates as created in SendGrid, including substitution tags to the Email body, and setting up Unsubscribe option availability to the Email.
Note:
If an SMTP Email Server is selected in the Configuration Options section under the Campaign Configuration tab, the Email Template Editor tab displays only System type of Email template.
For a SendGrid template, perform the following steps:
In the Conditions section, write condition using the Build Condition facility. Turn the Advanced Builder switch ON to use it. Refer Condition Builder on how to write conditions.
Expand the Email Template section to create an Email template.
Under the SendGrid Configuration section, select the SendGrid Template Type as Legacy or Dynamic
Select a corresponding SendGrid template from the Template Name dropdown.
Select a version for the template from the Template Version dropdown.
Note:
In case the active template version is changed to inactive state or, the selected template or the corresponding version has been deleted, the Emails are stopped from being sent and a notification is triggered in the application about the event.
Assign the Start and the End syntax enclosures for the substitution tags to be used in the body of the Email.
To fetch the substitution tags for the given template, click the Get Substitution Tags button.
Map the substitution tags that populate for the given template with the corresponding business fields.
Note:
Changing the SendGrid template type or the template leads to removal of the substitution tags.
Under the Email Template section, enter the Subject for the Email.
In the From field, enter the email address that goes out as the sender.
In the Reply To field, enter the receiver email address that receives the responses from the recipients.
Note:
The inputs in the From and the ReplyTo fields override the sender and the receiver addresses set in the Email server configuration.
To highlight the business field in your Email, select the Highlight Business Field checkbox (applicable only for legacy template). The application sends out the business field value highlighted in bold text.
To send out mails using Free HTML text, select the Free HTML Text checkbox (applicable only for legacy template). Leave this box unselected to compose Emails in plain text, using the formatting features of embedded text editor.
Select the CC checkbox to add a carbon copy recipient.
Select the BCC checkbox to add a blind carbon copy recipient.
Click Choose File to select an attachment to the Email.
Verify the body of the Email template in the Template Content section.
In the text editor section, enter any text that needs to be appended to the existing body of the Email template.
Note:
This text will replace the <%body%> tag in the Email, in case of legacy template.
Set the availability of the unsubscribe option to the Email, by choosing from one of the following and click Save.
Global: The contact that has unsubscribed will not receive any Email from any campaign. After selecting this option, select the unsubscribe hyperlink substitution tag from the Substitution Tag dropdown that appears.
Group: The contact that has unsubscribed will not receive any Email from the corresponding group of campaigns. After selecting this option, select the group from the Select Group dropdown that appears.
None: The unsubscribe option is not enabled for any contact.
